Mail handling
We apply a small charge for each item of mail that we receive and process for you, to sign-for if necessary, identify, sort, store and insure whilst on the premises, then to consolidate and package, ready for forwarding. Refreshingly, our handling charges are entirely ‘pay-as-you-go’ and applied only to the mail that we process for you, which is itemised each month, so:
-
you know what’s going through the system
-
you don’t have to guess how much mail you might receive each month or worry about extra charges if you run over!
Forwarding Postage fees
When we forward your mail, all you pay is the onward postage or shipping plus a small handling charge.
Special delivery or courier despatch
We charge £2.50 plus 30% of courier fee, for completing paperwork (pro-forma invoice, waybill etc.) and facilitating collection and/or despatch.
Postage Fund
When you first register your Expost London mailbox account, we ask you to deposit £20 credit into a notional ‘Postage Fund’.
-
This is for initial handling charges and forwarding postal costs for the first couple of months.
-
When this fund runs low on credit, our system will send you an email (or SMS reminder) to top it up via your control panel.
-
Any balance remaining in the Postage Fund at the end of your account period will be refunded, in full upon request.

Additional charges - and how to avoid them
We keep our costs low by automating and systemising our mail handling service as much as possible. However, until the bots take over the world, we need humans to handle out-bound post, couriers and parcels for you! So, if something needs human intervention, although it’s rare, we think it’s only fair that we cover our costs for this.
We keep this charge low, at just £3.50 per ‘intervention’, regardless of how much extra work is needed. We will always let you know if a human has had to get involved – by email and SMS if you have selected this option.
Human intervention is usually needed for:
-
Manual mailbox searches
To identify an individual item or items for scanning, forwarding, or to confirm receipt. -
Unknown user searches
If mail is delivered to an unregistered User with us, which we successfully identify as intended for your mailbox account. In this case, we will log in the mail item and add the new user to your account - although we will need to carry out the usual ID checks. -
Archive searches
This is charged per consignment, regardless of the number of items processed and despatched. -
Outpost
If we have to search our ‘unidentified’ archive for an unregistered User name, or to recover mail from a Closed account. All recovered items will be logged into your account in the normal way and Handling Charges will apply. -
Paying third party charges
Paying any excess postage or Customs Duty due on delivery. -
Oversize parcel handling
To receive and store an item larger or heavier than the Royal Mail Medium Parcel format. -
Unsolicited visitors
Very occasionally, we have had bailiffs, collection agents, the police, council officials and even the odd customer of our customers turning up at a Mail Centre! We charge £15 to deal with the unsolicited visitor looking for you, or one of your registered Users. -
GDPR
All ‘personally identifiable data’ held on our system is protected by GDPR and we will never reveal any information about you unless required to do so by the Courts. Any documentation left by the visitor will be logged into your mailbox.

Transaction fees - please read this bit carefully!
When you buy something on the internet, your card issuer or PayPal charges the retailer a percentage of the transaction.
These charges vary enormously, from 1.5% to as much as 8% in some cases, according to the provider (Visa, Mastercard, PayPal, Amex etc.), the payment type (Credit or Debit) and the geographical location of the cardholder and the issuing bank.
As a result, there is no way to predict transaction fees in advance.
What we do
We think it’s unfair to increase our charges across the board (as most retailers do) to account for a small percentage of these higher cost transaction fees – so we don’t.
So that the cost is totally transparent to you, we itemise the transaction fee charged by your payment provider separately.
For instance, transaction fees are debited from your Postage Fund in real time so, if you top-up £20, but only see £19.60 added to your balance, it is because a transaction fee of 40p (2%) was charged by your card issuer or PayPal.
Refund policy - your right of withdrawal
Even though, under the European Consumer Rights Directive you do NOT have the right to withdraw from the contract you make with us at Registration because the product (your mailbox Account) is bespoke, we understand that people sometimes make mistakes.
As a courtesy and without prejudice, if you decide within the first seven days that you no longer wish to hold a mailbox Account with us, for whatever reason, we will return both your Service fee and initial Postage Fund lodgement (less our £25 administration costs and any transaction charges applied by your bank or card issuer).
Payment
We accept PayPal including PayPal Credit which lets you spread the cost over 3-4 interest free payments and all major debit and credit cards.
